tackle & Trail booking terms and payment Policy

This Retreat Booking Terms and Payment Policy ("Policy") ("Policy") outlines the terms that apply when reserving a retreat, outdoor experience, workshop, or event hosted by Tackle & Trail.

By booking a retreat or experience, participants agree to the terms outlined below.

This Policy is incorporated into and should be read together with Tackle & Trail’s Terms & Conditions, Website Disclaimer, Privacy Policy, Cookie Policy, and any required Liability Waivers (collectively, the “Related Policies”). In the event of any conflict, the Terms & Conditions will govern to the fullest extent permitted by law.

 

1. Reservation, Deposit, and Payment Requirements

Due to the limited number of spaces available, reservations are confirmed only upon receipt of a deposit or full payment.

  • A non‑refundable deposit is required to secure your spot unless otherwise stated.

  • Full payment is required prior to participation in any event or experience.

  • Certain retreats or experiences may require full or substantial payment in advance to secure lodging, activities, and third-party professionals (e.g., executive coaches, instructors, guides).

These advance payments allow Tackle & Trail to coordinate resources, confirm vendors, and ensure a high-quality experience for all participants, including the ability to adjust or substitute activities or professionals when necessary.

Failure to complete payment by the deadline may result in cancellation of your reservation and forfeiture of any payments made.

 

2. Payment Terms and Responsibilities

Participants agree to the following:

  • provide accurate and valid payment information

  • complete all required payments on time

  • ensure sufficient funds are available for scheduled payments

Refunds, when issued, will be processed to the original form of payment whenever possible. If a refund cannot be completed through the original payment method, Tackle & Trail will make reasonable efforts to issue a refund through an alternative method.

Tackle & Trail reserves the right, where permitted by law, to:

  • cancel or release reservations due to failed or incomplete payments

  • charge applicable fees for returned or declined payments where permitted by law

 

3. Pricing and Availability

All pricing is subject to change at any time prior to booking confirmation.

Tackle & Trail reserves the right to correct any pricing errors, inaccuracies, or omissions before a booking is confirmed.

Promotional pricing, discounts, or special offers are limited in duration and availability and may be modified or withdrawn prior to confirmation.

Once a booking is confirmed, pricing is secured for that specific reservation.

Availability of retreats, lodging, and experiences is limited and not guaranteed until confirmed.

Pricing, discounts, or special offers provided by third-party vendors, partners, or service providers are subject to change and are not guaranteed by Tackle & Trail.

Tackle & Trail is not responsible for pricing discrepancies, changes, or additional charges imposed by third-party providers.

 

4. Cancellation by Participant

Due to the advance planning, vendor commitments, and limited availability associated with retreats and experiences, all payments are subject to the following:

  • Deposits are non‑refundable.

  • Payments are generally non-refundable unless otherwise explicitly stated at the time of booking.

  • Cancellations made close to the event date are not eligible for refunds.

Tackle & Trail is not obligated to provide refunds, credits, or transfers unless otherwise specified in writing.

Any exceptions, including credits or rescheduling options, are offered solely at the discretion of Tackle & Trail and based on the specific circumstances.

Participants are strongly encouraged to consider travel insurance or other protections for unforeseen circumstances.

 

5. Transfers and Substitutions

Reservations are non-transferable unless approved in advance by Tackle & Trail.

Transfer requests must be submitted within a reasonable timeframe prior to the event and are subject to review.

If approved:

  • the substitute participant must meet all eligibility requirements

  • all required waivers and agreements must be completed prior to participation and no later than 24 hours before the start of the event

Tackle & Trail reserves the right to deny any transfer request at its discretion, including situations where timing, eligibility, or operational considerations cannot be met.

Due to the coordinated planning required for group experiences with personalized elements, transfer approvals are limited and not guaranteed, particularly when required documentation and onboarding cannot be completed within the specified timeframe.

 

6. No-Shows, Late Arrivals, and Early Departures

Participants who, for any reason:

  • fail to attend (no-show)

  • arrive late

  • leave early

  • miss any portion of the experience

are not eligible for refunds, credits, or adjustments under any circumstances.

Retreats and experiences are sold as complete packages, not individual components, and partial participation does not reduce the overall cost or create eligibility for reimbursement.

Tackle & Trail experiences are intentionally designed as cohesive group environments with structured activities and shared participation.

Late arrivals, early departures, or missed participation may disrupt the flow of the experience and impact other participants.

Accordingly, full attendance is strongly encouraged. Partial attendance does not reduce pricing or create eligibility for any refund, credit, or adjustment.

Our goal is to deliver a high-quality experience for each participant, and maintaining the integrity of the group experience is a key part of that commitment.

 

7. Event Changes, Modifications, Cancellation, and Minimum Participation Requirement by Tackle & Trail

Tackle & Trail reserves the right, at its discretion, to modify, reschedule, or cancel any retreat, event, or experience due to circumstances including, but not limited to:

  • Weather conditions

  • Safety concerns

  • Environmental factors

  • Staff availability

  • Property or lodging issues

  • Unforeseen or unavoidable circumstances (force majeure)

Participants acknowledge that outdoor and nature-based experiences are dynamic, and specific activities, schedules, or elements of the experience are not guaranteed and may vary.

Certain events may require a minimum number of participants to be confirmed. Tackle & Trail reserves the right to reschedule or cancel an event if minimum participation levels are not met.

In such cases, participants may be offered a rescheduled experience, credit, or refund at the discretion of Tackle & Trail.

Modifications do not constitute grounds for a refund.

In the event of cancellation by Tackle & Trail, participants may be offered one of the following at Tackle & Trail’s discretion:

  • Rescheduling to a future event

  • Credit toward a future experience

  • A refund, in whole or in part

Tackle & Trail is not responsible for any additional costs incurred, including travel, lodging, or personal expenses.

 

8. Participant Conduct and Removal

Participants are expected to conduct themselves in a respectful, professional, and considerate manner at all times, consistent with the standards outlined in this Policy and the Related Policies.

This includes respecting the personal space, physical boundaries, property, perspectives, and overall well-being of all participants and staff.

Tackle & Trail is committed to maintaining a safe, respectful, and supportive environment. Behavior that disrupts this environment or diminishes the experience for others will not be tolerated.

Participation in activities is voluntary. No participant is required to engage in any activity they are not comfortable with.

Tackle & Trail reserves the right to remove any participant from an event or experience for:

  • unsafe behavior

  • violation of policies

  • failure to respect others or the environment

  • disruption of the experience

Removal will occur without refund, credit, or compensation.

 

9. Chargebacks and Payment Disputes

By booking a retreat or experience, participants acknowledge that they have reviewed and agreed to this Policy and the Related Policies prior to submitting payment.

Participants agree to contact Tackle & Trail directly to resolve any concerns before initiating a chargeback or payment dispute.

Initiating a chargeback without first attempting resolution with Tackle & Trail constitutes a material violation of this Policy.

Tackle & Trail reserves the right to:

  • dispute any chargeback with supporting documentation, including proof of agreement to these terms

  • recover associated costs, administrative time, and fees incurred as a result of the chargeback, where permitted by law

  • suspend or permanently deny future bookings to individuals who initiate improper or abusive chargebacks

Repeated or fraudulent disputes may be treated as a breach of this agreement and handled accordingly.

 

10. Nature of Experience

Participants acknowledge that they are purchasing a curated, nature-based outdoor experience, not a fixed or guaranteed set of outcomes or conditions, which are dynamic and influenced by environmental conditions, group participation, and operational considerations.

Tackle & Trail does not guarantee:

  • specific activities

  • exact schedules

  • environmental conditions

  • availability of particular instructors or vendors

  • personal outcomes or results

Experiences may vary based on factors including weather, participant engagement, safety considerations, and logistical needs.

Outdoor and natural environments involve inherent risks that are part of the experience, including but not limited to:

  • slips, trips, and falls on uneven, wet, or natural terrain

  • water-related movement (e.g., docks, boats, shorelines)

  • exposure to weather conditions such as heat, cold, rain, or wind

  • encounters with insects, plants, or wildlife, including bites, stings, or allergic reactions

  • physical exertion and environmental unpredictability

Tackle & Trail provides guidance, instructions, and policies designed to promote safety; however, participants remain responsible for their own awareness, actions, and personal safety at all times.

Participants understand that their own engagement, preparation, and participation contribute to the overall experience and that variations and environmental factors are a natural part of outdoor and group-based environments.

By booking, participants agree to approach the experience with flexibility, personal responsibility, and an understanding of its dynamic nature.

 

11. Agreement

By completing a booking, making a payment, or participating in any Tackle & Trail event or experience, you acknowledge that you have read, understood, and agree to be legally bound by this Policy and the Related Policies referenced above.
